You’re generating Clearing enquiries. Now can you convert them?

Your Clearing campaign is live. Students are clicking, visiting course pages and getting in touch.

Of course that’s exactly what you want.

But an enquiry is not a conversion. What happens next will decide whether that interest becomes an application, or just quietly disappears.

Student CRM helps recruitment teams capture, assign and respond to Clearing enquiries from one connected system.

I know summer is not the quiet period people outside the sector assume! (you work in education, you must get the whole summer off, right?). The reality is teams are managing Clearing, enrolment plans, communications, website updates, September planning and annual leave, as well as a whole host of other things, often all at once.

Academic and specialist teams may also be less readily available, at a time when students start asking some of their most specific questions.

So, while your campaign is generating interest, there is another question worth asking:

Is the operation behind it ready to convert that interest?

So first things first:

What happens after a Clearing enquiry?

Universities can convert more Clearing enquiries into applications by capturing each enquiry centrally, recognising previous engagement, assigning clear ownership and triggering the right response and follow-up.

To turn more Clearing enquiries into applications, institutions need to:

  • capture the enquiry quickly;
  • recognise whether the student has engaged before;
  • give it a clear owner;
  • provide a useful response;
  • record and follow up the next step.

That sounds simple. But it becomes much harder when enquiries, events, communications and applications sit in different systems, or when staff have to connect all those dots manually to get a complete picture of your potential new student.

Some Clearing enquirers will be completely new to you. Others may already have attended an open day, downloaded a prospectus, asked questions or started an application.

That context should shape the conversation.

A student who has already spent months engaging with your institution should not have to start again simply because their latest question arrived through a different form or inbox.

To your institution, these may be different systems and departments, but to the student, they are all one university.

Are your communications helping?

During Clearing, a quick acknowledgement matters. But fast does not always mean useful.

This is quick:

Thanks for your enquiry. We’ll be in touch soon.

It also leaves the student wondering who will contact them, when they will hear back and whether they need to do anything else.

Something more specific is far more reassuring:

We have received your enquiry about Computing. Our admissions team will review the information you provided and aim to contact you this afternoon. Please have your qualifications and UCAS ID ready. You do not need to submit another form while you wait.

Clear communications also protect staff capacity.

Every question answered properly at the beginning is one less follow-up call or one less duplicate form submission, and avoids the stream of “just checking you received this” emails for you to manage and filter out later.

What happens when the campaign works really well?

More enquiries should be a positive result.

But if every enquiry creates manual work, a successful campaign can quickly increase pressure without necessarily increasing applications.

Staff may need to:

  • forward messages between teams;
  • search for previous student activity;
  • copy information into another system;
  • check whether somebody else has responded;
  • manually send confirmations and reminders.

Academic input can also be extremely valuable during Clearing. Students may want to understand how a course is taught, what facilities they will use or where it could take them.

But the process should not depend on finding one particular person at exactly the right moment.

Teams need accurate course information, agreed answers to common questions and clear routes for anything requiring specialist input.

The question is not only how many enquiries your campaign is generating.

It is how easy you are making it for your team to act on them.

But why wait for them to enquire?

You may already know who is showing strong interest: open-day attendees, highly engaged prospects, incomplete applicants or students who have not progressed.

Rather than waiting for another form submission, use that insight to send timely, relevant follow-up.

Sometimes the best Clearing enquiry is the one you do not wait to receive.

How can a CRM improve Clearing conversion?

Clearing still needs people.

Students may be uncertain, disappointed or changing plans they have held for months. Those conversations require empathy, judgement and knowledge.

Technology should not replace that. It should remove the avoidable administration around it.

Student CRM connects enquiries, event activity, communications and applications around one prospective student record.

Teams can see what has already happened, route enquiries to the right people and trigger useful acknowledgements, reminders and next steps.

That means less time piecing together the student journey and more time nurturing and building those personal connections that help the student move forward.

It also helps teams look beyond the number of enquiries received and understand:

  • which courses are generating interest;
  • where enquiries are coming from;
  • which students progress into applications;
  • where students stop moving;
  • which communications lead to action.

That insight matters while Clearing is still underway, not just when the final campaign report is produced.

Your campaign has generated interest. What happens next?

Strong Clearing marketing helps students discover opportunities and take the first step.

But the student experience does not end when they click.

Can your team recognise who they are, find the right information and move them towards a clear next step, despite summer capacity being tight?

Because the success of your Clearing campaign will not ultimately be measured by how many enquiries it generates.

It will be measured by how effectively you turn that interest into applications and enrolments.
